Creating Custom Shoutout Images

This article shows organizations how to customize their "Shoutouts," enabling CultureBot users to create a tailor-made recognition tool. Users can customize the entire imagery of the Shoutouts. Not just the icon, but the entire Shoutout image.

Custom image shoutouts let you design recognition that feels unique to your organization. Instead of using just the default icons, you can now upload and apply fully custom background images to shoutouts.

This feature is perfect for tailoring recognition to your team’s culture, company branding, or special events.

CultureBot includes a set of pre-built shoutout types available to all workspaces, alongside the ability to create fully custom ones. This article explains how to manage both.

Understanding the two types of shoutouts

When you set up shoutouts, you'll have access to:

• Custom shoutouts — types you create yourself, with your choice of name, color, and icon
• Pre-built shoutouts — a standard set of 11 options provided by CultureBot:

Pre-built shoutouts cannot be renamed or individually removed. However, you can hide all of them and replace them with custom versions that match your preferred style.

How to switch to custom shoutouts only

If you'd like to remove the pre-built options and use only your own:

1. Go to Shoutout Settings
2. Click "Configure notification and visibility settings for shoutouts"
3. Check the box next to "Only show custom shoutouts"

Once that setting is enabled, only your custom shoutout types will appear when team members send a shoutout.

How to Create a Custom Image Shoutout

First, navigate to Custom Shoutouts in the Web App. Click "Add Custom Shoutout" to create a new Shoutout. You may also edit existing custom shoutouts by clicking "Edit" next to the item.

Second, choose Customization Type:

• Standard: The standard customization type allows you to choose the Shoutouts background color and choose (or upload) an icon to use in the generated image.

• Full Background: The full background customization type allows you to upload and use your own image for the entire shoutout. You will need to upload your background image into your Graphics Library, and then copy the URL over to the modal in the "background image url" field.
  • Follow guidelines outlined in the modal for your image. Dimensions should be 1500 x 700, and the left hand 2/3rds of the graphic should be relativity clear of text and visuals.

Finally, click Save to apply your custom image shoutout. It will now appear whenever this shoutout type is used.

Tips for Great Custom Shoutouts

• Use company branding (logo, brand colors, or internal graphics) to make shoutouts feel aligned.
• Celebrate team-specific wins (e.g., sales milestones, product launches, culture values).
• Keep designs clear and readable—avoid busy images that make text hard to see.
