How the HRIS Integration Works

CultureBot's HRIS integration keeps your employee data current automatically. Once connected, birthdays, work anniversaries, job titles, departments, and more flow from your HR system into CultureBot — so celebrations fire on time and your surveys reach the right people.

CultureBot connects to 50+ HR platforms. Whatever your source of truth for people data, there's a very good chance we connect with it. We partner with Merge to provide a secure connection.

Before you get started: The HRIS sync needs to be enabled for your workspace before you can connect. Email us at support@getculturebot.com and we'll get it turned on for you.


How to Connect Your HRIS

Setup takes about 5 minutes and only needs to happen once. You'll need admin access to both CultureBot and your HR system.

  1. Go to Settings in the CultureBot web app. Look for the Integrations section in your workspace settings.
  2. Click "Connect to HRIS." This opens a secure connection window powered by Merge — the integration layer that handles 50+ HR systems.
  3. Select your HR system and authenticate. Choose your platform from the list and sign in with your HR admin credentials. CultureBot only requests read access, and it never modifies your HR data.
  4. You're connected. CultureBot runs an initial sync to pull in your current employee data. From there, syncs happen automatically every day.

What Gets Synced

Here's what CultureBot pulls from your HR system and how it's used:

How matching works: CultureBot matches HR records to CultureBot users by email address. If an employee's email in your HR system doesn't match their CultureBot account, that record will be skipped until the emails align.


Good to Know

  • Automatic (daily): CultureBot runs a sync every day at 3 AM UTC. Only records that changed since the last sync are pulled, so it stays fast even for large organizations.
  • CultureBot never writes back to your HR system. The integration is read-only. Nothing in your HR platform will be changed or affected.
  • Birthdays sync as month and day only. No birth year is stored or used in CultureBot's system.
  • New hires are picked up automatically. When someone is added to your HR system, they'll appear in CultureBot on the next sync — no manual steps needed.
  • Departures aren't automatically removed. If someone leaves your company, you'll want to deactivate or remove them from your Slack/Teams workspace to deactivate them in CultureBot.
  • Data won't overwrite manual edits immediately. If you've manually updated a field in CultureBot (like a nickname or corrected birthday), the HRIS sync may overwrite that with whatever is in your HR system. Keep your HR system as the source of truth for best results.

What if an employee's email doesn't match?

CultureBot matches records by email. If a record doesn't match, it's skipped — nothing breaks, and no data is lost. Once the emails align (either in your HR system or in CultureBot), the record will sync on the next run.

Can I disconnect the integration?

Yes. You can disconnect at any time from the Integrations section in Settings. Existing employee data already in CultureBot won't be deleted — it just won't continue to update automatically.

An employee's data looks outdated. What should I do?

Verify the employee's email matches between your HR system and their CultureBot account. Still stuck? Contact us at support@getculturebot.com.

Can I connect more than one HR system?

Each CultureBot workspace supports one HRIS connection at a time. If you have questions about multi-system setups, contact us and we'll help you find the best approach.
