This guide is designed to make CultureBot easier to understand and easier to use for everyone on your team. By taking a few minutes to review and customize this document, you can ensure employees know what tools are available, where things happen, and who to contact without fielding the same questions over and over. It also helps set clear expectations around how your team uses CultureBot, so features feel intentional instead of confusing or unused.

Once personalized, this guide becomes a single, trusted reference you can share during launch, onboarding, and program refreshes. Our goal is to help CultureBot adoption stay consistent as your team grows!


Before sharing this guide, make sure you’ve:

  • Removed unused features
  • Updated channel names
  • Added admin contact info
  • Adjusted wording to match your team’s tone
  • Deleted the "Admin Setup Instructions" section (we recommend starting your custom guide at "🌟 CultureBot Member User Guide" below)

Step 1: Review & Remove Anything You’re Not Using

Not every team uses every feature - and that’s okay!

As you review the user guide remove sections that don’t apply to your team:

    • Not using points or rewards? Remove mentions of points, leaderboards, and rewards
    • Not using surveys or feedback? Remove those sections
    • Not using games or water coolers? Feel free to delete those entirely


Step 2: Personalize the Key Details

Anywhere you see brackets or placeholders, swap in details that make sense for your team.

We recommend updating:

  • Channel names (where shoutouts, water coolers, or celebrations post)
  • Admin contacts (who employees should reach out to with questions)
  • Any team-specific norms or expectations


Examples:

  • Replace #celebrations with your actual channel name
  • Explain timing and cadences for automated messages (ex. “All anniversaries and birthdays are celebrated on Mondays”)
  • Adjust language to match how your team talks (ex. “kudos” instead of “shoutouts”, “workaversary” instead of “work anniversary”, etc.)


Step 3: Save It as a CultureBot Employee AI Assistant Document

Once customized, add this user guide as a document in CultureBot’s Employee AI Assistant.

This allows:

  • Employees to find it anytime
  • The Employee Assistant to answer questions like:
    • “How do I send a shoutout?”
    • “Where do birthdays get posted?”
    • “Who do I contact if something’s wrong?”

Step 4: Share It With Your Team

We recommend:

  • Posting it in Slack/Teams when CultureBot launches
  • Pinning it in a relevant channel
  • Linking it in onboarding or internal docs

Our team uses CultureBot to celebrate wins, stay connected, share feedback, and make work a little more fun. This quick guide explains what you can do as a team member to get the most out of CultureBot.

Celebrate teammates and earn points

You can:

  • Give shoutouts
  • View your points
  • Redeem rewards
  • See shoutout stats and leaderboards

How to give a shoutout:

  • Home Tab: “📣 Give Shoutout”
  • Slash command in any public channel: /shoutout
  • Messages: “Give Shoutout” button
  • Teams only: Use the CultureBot extension when you post in a channel

2. 🎂 Celebration Settings

Add or update your birthday and anniversary so your team can celebrate you!

How to update your birthday:

  • Home Tab → Birthday section → Add or edit your date

How to update your Work Anniversary:

  • Home Tab → Anniversary section → Add or edit your start date

3. 🎮 Team Games

Have fun with your team - no planning required.

✨ Trivia

  • /trivia — Answer a trivia question together (have specific trivia in mind? Admins can add custom packs)

🎨 DoodleDash

  • /doodledash — A quick drawing game (like Pictionary)

🐟 Fishbowl

  • /fishbowl — A video-call game with Taboo, Charades, and Password rounds

  • /games — See all available games

4. 💬 Water Cooler Prompts

Fun, lightweight prompts posted to your team channels.

You can:

  • Join the conversation in channel threads
  • See active prompts in your Home Tab

5. 👋 Employee Intros

The following channels have employee intros enabled, matching you with another team member every [1 week, 2 weeks, 3 weeks, 4 weeks] for an intro meeting. Think of these as a “Get To Know You” call, where you can meet up with team members for a catch up or an introduction if you’ve never met before.

Channels with Employee Intros: 

  • [#your-employee-intro-channel], employees are paired up every X weeks

6. 🤖 Employee Assistant

Your AI-powered teammate for company FAQs, policies, and info documents.

You can:

  • Ask questions about policies, documents, or internal processes
  • Download documents your admin has uploaded
  • DM CultureBot anytime for quick questions. Please note we recommend asking questions as specific as possible to get the best results. Vague questions can get less helpful responses. See examples below.

Examples:

  • Vague question: “How many days can I request off?”
  • Detailed question: “What’s the PTO policy for an employee in their first year?”


  • Vague question: “Can I get a new computer?”
  • Detailed question: “How do I request equipment?”


  • Vague question: “Can I charge a meal on my company card?”
  • Detailed question: “What’s our expense limit for meals with customers?”

7. 📝 Send Feedback

Share ideas or concerns anonymously.

How to send:

  • Use the Slack Command /give-feedback
  • Or open the feedback section in your Home Tab

8. 📊 Surveys & Questionnaires

Admins may send quick surveys to gather input. This will come to you as a survey from CultureBot.

You can:

  • Respond to surveys
  • View results if your admin shares them

9. 🎁 Rewards & Points

Earn points from receiving shoutouts and redeem them for gift cards.

How to redeem:

  • Home Tab → “🎁 Redeem Reward”
  • OR visit https://getculturebot.com/app/rewards/catalog

10. 📈 Your Personal Stats

In your Home Tab, you can see:

  • Shoutouts given & received
  • Points earned & redeemed
  • Leaderboards (if enabled by your admins)

How do I give a shoutout?

You can give a shoutout a few different ways:

  • Open the CultureBot Home Tab and click Give Shoutout
  • Type /shoutout in any channel where CultureBot is added

Choose your shoutout type, teammate(s), write a message, add points (if enabled), and send.

How do I redeem my shoutout points?

If your team uses rewards, you can redeem points from:

You’ll see available gift cards or perks and how many points you need for each.

How many shoutout points do I have to give each month?

[Your monthly point allowance is set by your admins.]

On your CultureBot home screen in the app, you can always see:

  • How many points you have left to give
  • How many points you’ve received

Where can I see my previous shoutouts?

From your CultureBot Home Tab, you can click “View Shoutouts Feed” to see all shoutouts.

How do I pause participating in an employee intro pairing?

If your team uses employee intros or pairings:

  • Open the CultureBot Home Tab
  • Go to your “Employee Introductions”
  • Click “Edit your snoozed / excluded intros”

You can turn it back on anytime if you want to rejoin.

Can I delete or remove my birthday or work anniversary?

Yes. You’re always in control of your information.

To remove or update:

  1. Open the CultureBot Home Tab
  2. Go to Birthday or Anniversary settings
  3. Delete the date

Once removed, CultureBot will stop celebrating that event.
