Rippling: How to Sync Employee Data to CultureBot
CultureBot only needs a few key employee details to power recognition, birthdays, anniversaries, and other culture-building features. Instead of using an expensive HRIS integration, you can create a scheduled CSV export directly from Rippling. This guide will walk you through the steps to set up an automated employee data feed that works seamlessly with CultureBot.
What Information to Include
When creating your employee export in Rippling, please make sure to include the following fields:
- Employee Name
- Employee Work Email
- Employee Date of Birth (DOB)
- Employee Hire Date (Start Date)
- Manager (Manager’s Name or Work Email)
- Employee Location
- Employee Department
These fields ensure CultureBot can match and display information correctly across its features.
Step 1 – Create a Custom Employee Report
- Log into your Rippling dashboard.
- Navigate to Tools > Reports.
Click New Report.
Select Start from Scratch to open the report builder.
Use the search bar to add the following fields to your report:
- Employee Name
- Work Email
- Date of Birth
- Start Date
- Manager – Work Email (or Manager’s Name)
- Department
- Location
- (Optional) Rename fields using formulas if you want cleaner column headers (e.g., “Work Email” → “Email”).
- Run the report once to preview the data, then Save it with a clear name (e.g., “CultureBot Employee Export”).
Step 2 – Schedule the Report
- Go to Workflow Studio in Rippling.
- Create a New Workflow.
- Choose the trigger On a Set Schedule and set the frequency (daily, weekly, or monthly).
- Add an Action: Send a Report via SFTP.
- Select the custom report you just created.
- Choose CSV as the format.
- Enter the delivery details provided by CultureBot (e.g., SFTP host, username, password, and file path).
- Save and Publish the workflow.
Rippling will now automatically run and deliver your employee data export on the schedule you selected.
Step 3 – Verify the Export
- On the first scheduled run, check that the CSV was delivered correctly.
- Confirm that the file contains all the required fields.
- If anything looks off, you can return to the report builder to adjust fields or formatting.
Alternatives & Manual Option
- SFTP (Recommended): Most secure and fully automated. CultureBot will provide credentials if this is your chosen method.
- Email (Workaround): Rippling doesn’t natively support emailing CSV attachments externally. If SFTP isn’t an option, you can run the report manually (or on schedule) and email the CSV to CultureBot (get email address from customer support).
- Manual Download: Always available as a fallback—simply run the saved report, click the download icon, and export as CSV.
Best Practices
- Start Weekly: For most teams, a weekly sync is enough to keep employee data fresh.
- Secure Delivery: Use SFTP whenever possible since employee data contains sensitive information.
- Keep Fields Consistent: Don’t remove or rename required fields once set—this ensures CultureBot ingests data correctly.
