Importing Employee Data into the Directory
Your employee directory is the list CultureBot uses to send celebrations, shoutouts, and surveys to the right people. Active workspace users are added automatically, but you can edit their details (anniversary, title, department, and more) in a few ways.
Where Employee Profiles Come From
CultureBot builds your directory from your Slack or Microsoft Teams roster. When you install CultureBot, everyone in your workspace is added automatically, and new hires appear as soon as they join. There is no separate step to add people one by one. If someone is missing from CultureBot, add them to your Slack or Teams workspace and they sync over in 24 hours or less. Similarly, users deactivated from your Slack or Teams workspace will disappear from the Employee Directory within 24 hours automatically.

Edit Someone's Details
For admins: to fix a title, department, manager, birthday, or work anniversary for 1-2 people quickly, open the Directory and click "Table" at the top right hand side of the screen to turn the directory into an editable table. Find the employee's row, and double-click the field you want to change. Make your edit; the edit saves to that person right away.
Import Employee Data With a CSV
Update your users' profile data from a CSV. Rows are matched to existing users by email .
- Open The Import Menu: On the Directory page, click Import user data and choose CSV.
- Upload Your File: Drag in your CSV or click to select it, then click Next.
- Review The Preview: CultureBot shows which columns matched, how many users will be updated, and any rows it will skip. Nothing is saved yet.
- Apply The Update: Click Update to save your changes.
A few things to know:
- Update all of your users or just some. Users who are not in your file are never changed or removed.
- Include only the columns you want to update. A file with just
emailandbirthdayworks fine. - Columns that do not match a CultureBot field are ignored.
- Blank cells are ignored, so they will not remove existing data.
- A teammate who just joined your workspace may not be matchable until the next day.
Your file needs a header row with these column names:
email(required, this is how we match the user)birthday(common date formats, for example 05/15/1990)anniversary(common date formats)titledepartmentlocationmanager_email(must match another user's email)

Sync From Your HR System
To keep titles, departments, managers, and dates current without touching a spreadsheet again, connect your source of truth:

- Use the API: send CultureBot a CSV on a schedule if your HR system can export one.

However you bring data in, the match is always by email, so keeping work emails consistent between CultureBot and your HR system keeps everyone in sync.
